Stop Employee Theft Involving Checks

Most embezzlement involving checks can be prevented using simple procedures.

1. CONTROL ACCESS - keep your checks locked up and limit the number of people who can get to them. Change keys and combinations frequently.

2. DIVIDE UP TASKS - create a system of "checks and balances" by making sure more than one person deals with the finances of your business.

3. TIMELY ACCOUNT RECONCILATION - check the bank statements as soon as they are received, then have another independent person double-check.

4. POSITIVE PAY - many banks offer this service, in which you send them a list of checks that will be disbursed that day. Before making payment on any check written against your account, the bank matches it to the list. Any checks that don't match are considered "exceptions," and the bank will contact you to find out if the check should be paid or not. Click here for more information on Positive Pay.
